Taking Control of your Calendar

Maintaining a healthy work-life balance can be a challenge. As we navigate the demands of our careers, it's important to prioritize our well-being and avoid the all-too-familiar feeling of burnout. One strategy I've discovered is the concept of 'blocking' my calendar. It's a simple yet effective technique that helps me maintain organization, stay focused, and prevent the irritating back-to-back burnout. In this article, we'll explore the concept of blocking your calendar and provide tangible action items to help you implement this strategy effectively.

1. Assess Your Priorities:

Identify the key activities and priorities in my workweek. These can include meetings, important projects, personal things I need to do (make doc appt for the kiddo), or even breaks for self-care (peloton/yoga/walk). Once I have a clear picture of these priorities, I reserve dedicated blocks on my calendar to safeguard that time.

Action Item: Take a few minutes to reflect on your current workload and commitments. Make a list of your top priorities and the specific tasks or activities associated with each.

2. Designate Dedicated Time Blocks:

Once you have a clear picture of your priorities, it's time to reserve dedicated blocks on your calendar. These blocks serve as boundaries to protect your time and ensure that you can focus on the tasks at hand without interruptions or distractions.

Action Item: Open your calendar and start blocking time for your identified priorities. Allocate specific hours for deep work, client meetings, personal to do’s, and self-care. Aim for a balance that allows you to work efficiently and take care of your well-being. I like using “categories” in Outlook or “labels” in Gmail to help me stay organized.

3. Schedule Breaks and Self-Care Activities:

Burnout often stems from neglecting self-care and not allowing yourself to recharge. By intentionally scheduling breaks and self-care activities, you can prevent exhaustion and maintain a healthy work-life balance. Treat these breaks as non-negotiable appointments with yourself.

Action Item: Identify regular intervals throughout your workday for breaks. Whether it's a short walk, meditation, or a quick stretch, block time for self-care activities. Use this time to rejuvenate and refocus, enhancing your overall productivity and well-being. If you have a bad habit of not eating lunch, put a reoccurring calendar invite for that too!

4. Practice Saying 'No':

One of the most powerful benefits of blocking your calendar is the ability to say 'no' when necessary. By having a clear view of your commitments, you can assess your availability and avoid overextending yourself. Be mindful of your capacity and communicate your availability confidently.

Action Item: When new requests or tasks come your way, review your calendar before committing. Assess whether you have the bandwidth to take on additional responsibilities. If your schedule is already full, politely decline or negotiate deadlines to maintain a healthy workload.
